#
Performer Basics
Once you have accepted a Role Invitation in Pod 2 (Team) you will have access to that Role’s Performance.
To view a single Performance:
In Pod 1 (Performance), click on the Performance Label. Doing this will open the Performance in Pod 3 (Time).
A Performance’s default view is an entire Performance, including all Roles’ responsibilities. Click “show sort” and select the filters you would like to apply, if any. For example, select “show mine only” to see only the Events and/or Timelines for which you are responsible on this Performance.
To view a Group Performance:
If you are a member of a Group, you can access Performances owned by that Group by clicking “Group”, just above Pod 1 (Performances). Next, click on a Performance Label, and that Performance will be opened in Pod 3 (Time).
To view your work across all of your Performances and Roles:
In Pod 3 (Time), click “What’s next for me?”. It is just above the pod, under its title.
To view an entire Performance from this view, hover your mouse over an Event and click on the iLiv steps icon that appears.
To access a Performance, you must either:
Be responsible for a Role on that Performance (i.e. you must have accepted an invitation to a Role), or
Be a member of the Group that owns the Performance, or
Have created the Performance yourself, in which case you are its Performance Admin.
In Pod 3 (Time), either in your What’s Next for Me view, or with a Performance open, you can report that a Timeline or Event has been completed by marking it “done”.
Hover your mouse over the Timeline or Event and click “done” from the menu that appears. The Timeline or Event will now show as "done" for anyone who accesses the Performance.
Those set-up to receive Notifications for this Performance, will receive a Notification.
You can use Notifications to monitor what happens on your Performances by opting to receive email copies of them.
There are two places from which you can alter your Notifications settings for a specific Performance:
Either, In Pod 1(Performance), hover your mouse over a Performance Label and click on the chevron that appears, or
With the Performance open in Pod 3 (Time), click on the Performance Label.
Both of these methods will open the Performance Foldout.
Next, at the top of the Performance Foldout, click “Notifications” (in blue) to open the Performance Notifications Foldout.
Under “Specify Notifications”, check the boxes beside happenings that you would like to be notified about.
Click “save” at the bottom of the foldout.
To accept responsibility for a Performance Role:
In Pod 2 (Team), click “Role Invitations”, just above the Pod. Hover your mouse over an invitation and click “accept”.
To accept a Group Invitation:
- In Pod 2 (Team), click “Group Invitations”, just above the Pod. Hover your mouse over an invitation and click “accept”.
Each Performance, each Timeline, and each Event has a Timezone.
In addition, as a User, you too are in a Timezone (which you can see in the top, center of your screen).
Your Performance's Timelines and Events in Performer automatically adjust to show dates, times, and timeliness prompts in your current timezone (which you can adjust when you travel).
You can use this feature to coordinate teams who are in different parts of the world. For example, a 6pm deadline in New York will be 9pm in San Francisco; A Thursday deadline in the San Francisco is a Wednesday deadline in Tokyo.
In iLiv Performer, there are two places from which you can change your Timezone (both means will have the same effect):
At the top center of your screen, click “Change my Location and Timezone”. or,
In Pod 5 (Community), click “My Profile” (in orange, just above the Pod), then in “Current Location and Timezone”, click “change”.
In the pop-up that opens, enter your Location. Note: This can be different from your Timezone, if applicable.
Select your “Timezone Region” from the drop-down menu.
Select the city closest to you from the “Timezone Sub-Region” drop-down menu.
Click “Save” at the bottom of the pop-up to set your Timezone.
To change your email address/login:
- In Pod 5 (Community), click “My Profile”, just above the Pod.
- Inside the Pod, (in blue, at the top/left), click “Change Email Addresses”. This will open the “Email Change” Foldout.
- Type your new email address into both fields (the second field is to prevent typos).
- Click “save”, at the bottom of the foldout.
- You will receive a confirmation email (with a link) to your new email address. Open the email and either click on the link or copy and paste the link into your browser. Note that if you haven’t received the email within minutes, you should check your junk mail folder. You can also ask the system to resend the confirmation email by clicking “resend” in the “Email Change” foldout (in blue, just right of the email address).
- Now that your new address has been confirmed, close the “Email Change” foldout and reopen it. Your new address will now be listed under “email addresses”.
- To set the new email as your primary address ( which will also be your new login!), click “set primary” (in blue, just right of your email address).
- If you wish to delete your previous email address from iLiv Performer, click “delete” (in blue, just right of your email address).
In Pod 5 (Community), click “My Profile”, just above the Pod.
At the top/left, click “change password”. This will open the Password Change Foldout, where you can
Enter your new password, and then click “save” to set it.

Performing Day-to-Day
Labels for Performances that have been opened during your current login session will appear just above Pod 3 (Time).
Click on a Performance Label to open that Performance.
Click on another to toggle between the two.
To add Performance Labels to the toggle list, open them from Pod 1 (Performance), or by clicking on the iLiv steps icon from the hover menu in your What's Next for Me view (hover your mouse over an Event to see the Event's hover menu).
There are two places from which you can start a message:
In Pod 4 (Media), click “Messages” just above the pod, and then “New” at the top/left, inside the pod. This will open the New Message Foldout.
Anywhere that you see it, click on a person’s name, and then “Message” at the top of the foldout that opens. This will open the New Message Foldout.
Both of the methods opens a New Message Foldout.
Select from “People I work with”, “People in one of my Groups”, or “People on one of my Performances”. This will limit your search results in the next field, making the correct recipient easier to find.
As you type a person’s name, full names will appear in the drop-down. Be sure to click on the correct name to add it to the “to” field. Click “x” to remove them.
Type your Message’s Subject in the field provided.
Type your Message in the field provided.
Click “send” at the bottom of the foldout to send your message.
In iLiv Performer, Documents can be checked-out, edited, and then saved as another version of the same Document (checked back in).
Versions are stamped with the name of the person who uploaded them, and the time that the Document was uploaded. All versions will be available for users with the correct permissions.
You can view a Document without checking it out by clicking on the Document label. This will open the latest version of the Document. Be careful, however, not to edit a Document without first checking it out. Also, be careful not to edit a Document that is currently checked-out by another user.
Checking-out Documents in Pod 3 (Time):
Documents are indicated by a paperclip icon that will appear to the right of a Performance, Timeline, or Event Label. Click on the paperclip icon to open the Notes and Docs foldout.
Hover your mouse over a Document Label and click the “checkout” button that appears.
You have now marked the Document as being checked out, and your name will appear in bright pink to indicate this to other users.
Click on the Document Label to open the Document for editing.
Once the Document is edited, go back to the same Notes and Docs foldout, and select “check in” from the hover menu.
Either drag and drop your new Document into the “document to upload” field, or click in that field and select a document from your files. Click “open” in your system’s pop-up window once you have selected the correct Document to upload.
The name of the uploaded file will now appear under “file”.
You may opt to alter the Document’s Name, Description, or Comments.
Click “save” to check the Document in, or “save and inform others” to send Notifications to others, letting them know that you have uploaded a new version of the Document.
Checking-out Documents in Pod 4 (Media):
Click “Documents”, just above the Pod in Pod 4 (Media).
From the list of Performance Folders that appear, select the Performance of interest.
Click on the Performance Label to open the Document Manager foldout.
Hover your mouse over a Document Label and click the “checkout” button that appears.
You have now marked the Document as being checked out, and your name will appear in bright pink to indicate this to other users.
Click on the Document Label to open the Document for editing.
Once the Document is edited, go back to the same Notes and Docs foldout, and select “check in” from the hover menu.
Either drag and drop your new Document into the “document to upload” field, or click in that field and select a document from your files. Click “open” in your system’s pop-up window once you have selected the correct Document to upload.
The name of the uploaded file will now appear under “file”.
You may opt to alter the Document’s Name, Description, or Comments.
Click “save” to check the Document in, or “save and inform others” to send Notifications to others, letting them know that you have uploaded a new version of the Document.
You can find files in Pod 3 (Time) at the Performance, Timeline, and/or Event levels, as indicated by a paperclip icon. All Performance files are also findable from Pod 4 (Media), in the Performance’s folder.
For each Document and URL uploaded at the Performance, Timeline, or Event level in Pod 3 (Time), a link to that Document or URL will have been automatically created in that Performance’s folder in Pod 4 (Media). Documents and URLs uploaded directly to Pod 4 (Media), are available in Pod 4 (Media) only.
Important: You must tell your browser to allow pop-ups from iLiv.com.
To download a file from Pod 3 (Time):
Click the paperclip icon to open the Performance, Timeline, or Event Notes and Doc foldout.
To open the a file, click its Label. This will automatically download a Document or open a URL in a new browser tab. Note that you must tell your browser to allow pop-ups from iLiv.com.
To download a Document in Pod 4 (Media):
At the top of Pod 4 (Media), click “Documents” for a list of your Performances’ folders.
Click on the Label for the appropriate Performance. This will open the Document Manager foldout.
In the Document Manager foldout, click a file’s Label. This will automatically download a Document or open a URL in a new browser tab.
Either:
Wait for the Document to be checked-in. You can VIEW the Document without making changes to it by clicking on its Label. Or
Send a Message to the Person who has checked it out:
Their name will appear in blue, beside “checked out by” (in bright pink):
Click on their name to open the person foldout.
At the top of the foldout (in blue), click “Message” to open the “New Message” foldout.
In the New Message Foldout, select from “People I work with”, “People in one of my Groups”, or “People on one of my Performances”. This will limit your search results in the next field, making the correct recipient easier to find.
As you type a person’s name, full names will appear in the drop-down. Be sure to click on the correct name to add it to the “to” field. Click “x” to remove them.
Type your Message’s Subject in the field provided.
Type your Message in the field provided.
Click “send” at the bottom of the foldout to send your message.
Documents and URLs can be uploaded to the Performance, Timeline, or Event level of a Performance in Pod 3 (Time). A Document or URL at any level is indicated by a paperclip icon.
Documents and URLs can also be uploaded into a Performance’s folder in Pod 4 (Media).
For each Document and URL uploaded at the Performance, Timeline, or Event level in Pod 3 (Time), a link to that Document or URL will be automatically created in that Performance’s folder in Pod 4 (Media). Documents and URLs uploaded directly to Pod 4 (Media), are available in Pod 4 (Media) only.
To upload a File or URL in Pod 3 (Time)...
...At the Performance level:
With the Performance to which you wish to upload the Document(s) or URL open in Pod 3 (Time), click on the Performance Label to open a foldout.
At the top of the foldout (in blue), click “Notes and Docs”. This will open another foldout to the right.
In the second foldout, click “New Document”.
Select the type of Document you will upload, whether it will be a file or a URL
For files, click in the “Drag and Drop or Click Here” box and select the Document from your files.
For URL, enter the complete URL in the space provided.
It is required that you give the file or URL a “label”. Comments and Descriptions are optional, but can be helpful — especially when there are multiple versions of a document.
Click “Save” at the bottom of the foldout.
You will now see a paperclip icon to the right of the Performance Label. This indicates that your file or URL has been uploaded and is available to those with permissions by clicking on the paperclip icon.
...At the Timeline level:
With the Performance to which you wish to upload the Document(s) or URL open in Pod 3 (Time), hover your mouse over the appropriate Timeline Label and click “Document” from the menu that appears. This will open a foldout.
Select the type of Document you will upload, whether it will be a file or a URL
For files, click in the “Drag and Drop or Click Here” box and select the Document from your files.
For URL, enter the complete URL in the space provided.
It is required that you give the file or URL a “label”. Comments and Descriptions are optional, but can be helpful — especially when there are multiple versions of a Document.
Click “Save” at the bottom of the foldout.

...At the Event level:
With the Performance to which you wish to upload the Document(s) or URL open in Pod 3 (Time), hover your mouse over the appropriate Event Label and click “Document” from the menu that appears. This will open a foldout.
Select the type of Document you will upload, whether it will be a file or a URL
For files, click in the “Drag and Drop or Click Here” box and select the Document from your files.
For URL, enter the complete URL in the space provided.
It is required that you give the file or URL a “label”. Comments and Descriptions are optional, but can be helpful — especially when there are multiple versions of a Document.
Click “Save” at the bottom of the foldout.
You will now see a paperclip icon to the right of the Event Label. This indicates that your file or URL has been uploaded and is available to those with permissions by clicking on the paperclip icon.
To upload a Document in Pod 4 (Media):
At the top of Pod 4 (Media), click “Documents” for a list of your Performances’ folders.
Click on the Label for the Performance to which you would like to upload a Document. This will open the Document Manager foldout.
In the Document Manager foldout, click “New Document” (in blue). You will find this inside the outlined box.
In the New Document foldout that has opened:
Select the type of Document you will upload, whether it will be a file or a URL
For files, click in the “Drag and Drop or Click Here” box and select the Document from your files.
For URL, enter the complete URL in the space provided.
It is required that you give the file or URL a “label”. Comments and Descriptions are optional, but can be helpful — especially when there are multiple versions of a Document.
Click “Save” at the bottom of the foldout.
To view all Notes and Documents belonging to a Performance:
With a Performance open, in Pod 3 (Time), click on the Performance Label to open its Performance Foldout.
At the top of the Performance Foldout, click on “Notes & Docs” (in blue). This will open the Performance Notes and Documents foldout where you will see Notes and Documents that have been attached at the Performance level only.
Next, click “Show Child Notes and Docs” to populate the foldout with all Notes and Documents that have been attached at all levels (Performance, Timeline, or Event) across the entire Performance.
In Pod 3 (Time), you can print an open Performance by clicking “Print” at the top, right of the Pod. This will open the Performance in another tab from which you can print.
You can use the Performance's Sorting feature (by clicking "show sort" at the top of the Performance) in Pod 3 (Time) to limit your printing. For example, you can click "show mine only" and "hide done" to print only Timelines and Events for which you are responsible, and that you have not already marked done.

Performance Admin Work
To create a Performance from scratch:
In Pod 1 (Performance) click “New” to open the New Performance foldout.
It is required that you give the your new Performance a “label” (the name of the Performance), Timezone, and Timezone Sub-Region (closest major city).
Once you’ve completed (at least) the required fields, click “Create” at the bottom left corner of the fold-out to create your new Performance.
Your new Performance will automatically open in Pod 3 (Time).
To create a Performance using a Composition from Composer:
In Pod 1 (Performance) click “New” to open the New Performance foldout.
It is required that you give the your new Performance a “label” (what the Performance will be called), Timezone, and Timezone Sub-Region (closest major city).

Below “Performance Label”, choose your “Owner Group” by typing its name into the box and clicking on it. Note that you must have to right permissions to be allowed to do this (I.e. You must be an Admin of that Group).
Next, select “yes” under “Base this Performance on a Composer Composition”. This will widen the foldout to include the Performance Composer panel.
Click “yes” or “no” to allow or disallow Group members only invitations to the Performance.
If you select “yes”, enter the names of the Groups you want to invite into the "Groups for invitation" field.
Start typing the Composition label you wish to use in the Performance Composer panel. Click on the appropriate Composition.
Select “all” timelines (in blue), and click “x” to remove the Timelines you do not wish to instantiate.
Give the Performance a start date.
Click “create” at the bottom left corner of the fold-out to create your new Performance. Your new Performance will automatically open in Pod 3 (Time).
In Pod 1 (Performance), hover your mouse over a Performance Label and select “Roles” from the menu that appears. This will open the Performance Roles foldout.
At the top, left of the foldout, click the word “New” to open a “New Performance Role” foldout.
Enter the Label for your new Role — you may also, optionally, enter a Description of the Role — and click “Save” at the bottom of the foldout to create the new Role.
In Pod 1 (Performance), hover your mouse over a Performance Label and select “Roles” from the menu that appears. This will open the Performance Roles foldout.
Hover your mouse over the Role and select “invite” from the menu that appears. This will open the Performance Role Invitation foldout.
Internal Invitations: If the person you would like to invite is already working on a Performance or shares a Group with you, you can search for them by selecting the “Invite” default of “A person”, and the “Who is” of “Someone from my Performances or Groups”. Start typing their name under “select who” and select their name, once it appears. You can do this more than once to invite multiple people to the same Role. The default subject title for an invitation is “iLiv Performer Invitation from (your name)”, but you can change it, if you like. You can optionally add a comment/note to the recipient.
External Invitations: If the person you would like to invite is not already working on a Performance or sharing a Group with you, you can invite them by selecting the “invite” default of “A person”, and the “Who is” of “Someone else”. Next, type their name and primary business email address in the required fields. The default subject title for an invitation is “iLiv Performer Invitation from (your name)”, but you can change it, if you like. You can optionally add a comment/note to the recipient.
You should first verify that you don’t already share a Performance or Group with the person you’d like to invite (by first attempting to invite “someone from my Performances or Groups”).
You should always try to use a person’s primary business email for external invitations.
- Once your invitation is ready, click “invite” at the bottom of the foldout.
To send a reminder of a Role Invitation:
In Pod 1 (Performance), hover your mouse over a Performance Label and select “Roles” from the menu that appears. This will open the Performance Roles foldout.
Invitations that have not yet been accepted will have a “remind” (in blue) button. Click “remind”, enter your reminder message, and click “submit” to re-send your invitation.
Note that all invitations and reminders will be saved in the Role’s history.
Performer's invitation system tracks all phases of all invitations.
To access a Role’s history:
In Pod 1 (Performance), hover your mouse over a Performance Label and select “Roles” from the menu that appears. This will open the Performance Roles foldout.
In the Performance Roles foldout, hover your mouse over a Role and select “history” from the menu that appears. This will open the Performance Role History foldout with all dates and names of people who have been responsible for that Role, when their invitations were sent, and by whom.
In Pod 4 (Media), links to all files that have been uploaded to a Performance — whether directly to Pod 4 (Media), or to Pod 3 (Time) — are available. There, they can be organized into folders.
To create a Folder:
At the top of Pod 4 (Media), click “Documents” for a list of your Performances’ folders.
Click on the label for the appropriate Performance. This will open the Document Manager foldout.
At the top of the Document Management foldout, inside the outlined box, click “New Folder” (in blue) to open the New Folder foldout.
Click “save” at the bottom of the foldout to create the new Folder.
To add Files to a Folder:
Drag and drop Files into your Folders in the Document Manager foldout for a given Performance.
To open a Folder, click on its label.
To move Files from one Folder to another:
In the Document Manager foldout, click on a Folder to open in.
Drag the File you would like to move to the correct “Folder” and drop it there.
To return to the root Folder of a Performance:
-- Clicking on the first Folder (the one with the two periods) will bring you back to the main list of Folders for a Performance.
